How to Connect Your Website, WhatsApp and CRM Into One System

6 בNovember 2026 6 min read Kaede Digital

A typical customer journey looks something like this. Someone finds your website, reads a page and fills in a form. A day later they message you on WhatsApp with a question, and then they call. If your website, WhatsApp and CRM are separate islands, your team sees three different people. Someone has to copy details by hand, nobody knows which campaign brought the lead, and follow-ups depend on luck. A proper WhatsApp CRM integration, with your website feeding the same system, fixes that.

This guide explains what “one system” means, how the pieces talk to each other and how to connect them, step by step.

What “one system” means in practice

The goal is simple: one customer, one record, every touchpoint attached.

  • A form on your website creates or updates a contact in the CRM, with the page and campaign it came from.
  • Every WhatsApp conversation, with a bot or a person, appears on that same contact’s timeline.
  • Calls, quotes, payments and notes live there too.
  • Automations run on top: assign the lead, send a reply, create a task, remind the owner.

Your team opens one screen and sees the whole story.

The three pieces and how they talk

The website: where leads start

Your website captures interest through forms, click-to-WhatsApp buttons and booking widgets. Two details make a big difference:

  • Source tracking. UTM parameters on your campaign links tell you whether a visitor came from Google Ads, Instagram or a newsletter. Capture them in hidden form fields so they reach the CRM along with the lead.
  • Smarter WhatsApp buttons. A wa.me link can include a pre-filled message, for example “Hi, I’d like a quote for a bathroom renovation”. When the chat starts, the bot recognises the topic and the CRM knows which page the lead came from.

WhatsApp: where conversations happen

For a real integration, WhatsApp needs to run on the official WhatsApp Business Platform, usually through the Cloud API. The free Business app has no integration options. Through the platform, incoming messages and delivery and read statuses are sent to your systems in real time through webhooks, and your systems can send replies and approved template messages back.

Avoid unofficial tools that connect to the regular app through WhatsApp Web. They break Meta’s terms and put your number at risk.

The CRM: the single source of truth

The CRM is the hub. It holds the contact record, the pipeline stage, the owner and the full history. Everything else reads from it and writes to it. If you are choosing a CRM, check that it can receive data from forms and WhatsApp through an API or webhooks, or consider a custom CRM built around these channels.

A lead’s journey, step by step

Picture a yoga studio in Lisbon running an Instagram campaign for a new beginners’ course.

  1. A visitor taps the ad and lands on the course page. The UTM parameters mark the source as Instagram, spring campaign.
  2. She taps “Ask us on WhatsApp”. The chat opens with a pre-filled message about the beginners’ course.
  3. The bot greets her, answers a question about class times and asks if she’d like to book a trial class. She would.
  4. The CRM creates a new contact with her phone number, the course, the campaign source and the trial date. The class is added to the studio calendar.
  5. The day before, she receives a reminder template on WhatsApp.
  6. After the trial, the bot sends a short message with a payment link for the full course. When she asks something the bot can’t answer, the chat goes to the studio manager, who sees the whole history.
  7. At the end of the month, the dashboard shows how many trials and sign-ups the Instagram campaign produced.

Nobody copied anything, and every step is logged.

WhatsApp CRM integration: a practical plan

  1. Choose your source of truth. Decide that the CRM owns customer data. Other tools send data to it, not around it.
  2. Map your fields. List what you need from each channel: name, phone, email, source, interest, consent. Use the same field names everywhere.
  3. Standardise phone numbers. Store numbers in international format with the country code (the E.164 standard, for example +351 for Portugal). WhatsApp identifies people by phone number, so this is how a chat gets matched to an existing contact instead of creating a duplicate.
  4. Connect the website. Send form submissions to the CRM through a native integration, a webhook or an API, including the hidden UTM fields.
  5. Connect WhatsApp through the official platform. Set up webhooks so every incoming message is attached to the right contact, and let your team reply from the CRM or a connected inbox.
  6. Add automations. New lead: assign an owner and send a first reply. No answer within a day: create a follow-up task. Booking made: schedule a reminder.
  7. Handle consent and privacy. Record when and how each person opted in to WhatsApp messages. If you have customers in the EU, GDPR applies to the personal data you collect, and other regions have their own rules.
  8. Test the whole journey. Fill in your own forms, message your own number and check that one clean record appears with the right source.

Mistakes that break the connection

  • Salespeople using personal WhatsApp numbers, so conversations never reach the CRM
  • Phone numbers stored in different formats, which creates duplicate contacts
  • The lead source not being passed along, so you can’t tell which marketing works
  • Automations that send messages without checking opt-in status
  • Two CRMs running side by side, or a CRM plus a “temporary” spreadsheet

Quick checklist

  • Website forms send leads to the CRM with source data
  • WhatsApp runs on the official Business Platform
  • Each chat links to a contact by phone number
  • Phone numbers are stored with country codes
  • Opt-in is recorded for every contact you message first
  • Automations cover the first reply, follow-ups and reminders
  • One dashboard shows leads by source and stage

One system, one team

When your website, WhatsApp and CRM work as one, you stop losing leads in the gaps and start seeing which efforts actually bring customers. At Kaede Digital this connection is at the heart of our work: websites built to generate leads, WhatsApp bots on the official platform and CRM systems, tied together into one flow from the first click to the closed deal.

FAQ

Can I connect WhatsApp to my CRM using the free Business app?

Not in a reliable, official way. Integration requires the WhatsApp Business Platform (often called the API), which delivers messages to your systems through webhooks.

Do I need a custom CRM for this kind of integration?

Not always. Many CRMs offer WhatsApp integrations through providers. A custom CRM makes sense when WhatsApp is your main sales channel or when your process doesn’t fit the standard tools.

What if a customer uses a different number on WhatsApp than on the form?

At first the system will see two contacts. A good setup flags likely duplicates by name or email and lets your team merge them, so the history stays in one place.
